Agency Dashboard
Expenses, owner pass-through, and the ledger
How to record property expenses without mixing them with agency income, and when they appear in owner wallets or financial reports.
The operating rule
Property expenses usually belong to the owner, not directly to agency profit or loss. Link each expense to the correct property, unit, or owner.
Management fees or commissions are different from maintenance expenses. Do not mix them in description or classification because profitability reports will be affected.
What should be entered?
Enter vendor, expense type, date, amount, tax if applicable, property or unit, and who bears the cost. Attach the document or invoice when the expense interface supports it.
- Vendor
- Date
- Amount
- Category
- Property or unit
- Cost owner
- Attachment when available
How to review the financial impact
After recording an expense, review the owner wallet or statement to confirm the correct impact. If the ledger is enabled, review the related postings or reports according to your permissions.
If the expense appears under the wrong owner, start by checking the property and unit links before changing reports.
When to involve an accountant
Ask an accountant when VAT, capital expenses, multi-owner allocation, or closed-period adjustments are involved. The Knowledge Base is not accounting advice.
Operational numbers to review before deciding
Use this article together with dashboard metrics: collection rate, overdue rent, expiring leases, open expenses, owner balances, and alerts.
If the decision affects an owner, tenant, or financial transaction, ask the responsible role to review the record before execution.
- Collection rate
- Overdue rent
- Leases
- Expenses
- Owner balances
- Alerts
How to apply this inside the agency
Turn the article into a small dashboard action: open the related record, review the data, make the appropriate update, then document the outcome so the rest of the team can see it.
If the action involves a financial, regulatory, owner, or tenant-impacting decision, ask the responsible role to review it before final approval.
- Open the record
- Review data
- Take action
- Document outcome
- Escalate when needed
Product status and review needed
This is documented as an available workflow, but results can still vary by user permissions, agency settings, and data quality.
If a step described here is not visible in the agency dashboard, treat it as not enabled for your account and check with your admin or Product.
